To all relevant colleges (centers, research institutes/departments, herein after included):In accordance with the university's schedule and relevant regulations regarding the conferral of graduate degrees, we plan to initiate the second batch of graduate degree conferral procedures by the end of September 2024. This notice outlines the pertinent matters as follows:
1. Thesis submission for approval
Before submitting the thesis for examination and approval, the graduate students log into the "Graduate Management Information System" and follow the steps.
A. Upload Information in "Academic Information" Section:
Applying for thesis proposal, filling out the Evaluation Form of Discussion for Seminars, and registering academic activities are mandatory steps. Other information can be uploaded optionally.
B. Upload Information in "Registration of Academic Achievements" Section:
Registering published papers is mandatory. This step ensures that your academic achievements are officially documented for the degree conferral process.
C. Upload Information in "Submit Academic Dissertation" Section:
Verify the data related to your degree award and save the information. Then, print to generate the "Basic Information Form." This form summarizes your academic profile and is an essential part of the submission process.
D. Submit the "Basic Information Form" and Supporting Documents:
After completing all the above steps, attach a soft copy of the "Basic Information Form," along with required supporting documents such as HSK and email them to ieao@ujs.edu.cn with a request to verify your training program. Once verified, you will be granted access to a portal where you can upload the soft copy of your thesis in the system.
E. Upload Blind Review Format of Dissertation:
In the "Submit Academic Dissertation" section, upload the electronic version of your dissertation in the blind review format (PDF file). Apply to submit your academic dissertation, and ensure that both your supervisor and the school have confirmed it. Note: The Degree Office will use the exact copy you upload for external review.
2. Detection of academic misconduct or plagiarism in academic dissertations:
All graduate degree theses must be tested for academic misconduct, which the college should implement. Only those who pass the test results can enter the submission process. Identification and treatment of test results: If the "full-text copy ratio of the thesis" is less than 10%, the thesis can be submitted for approval after passing the test.Suppose the "full-text copy ratio of the thesis" is between 10% and 24%. In that case, the tutor shall review and determine whether there is academic misconduct in the content of the thesis and make specific handling suggestions in combination with the content of the test report. Suppose the "copy ratio of the full text of the degree thesis" is more than 24%. In that case, each degree evaluation sub-committee or sub-committee shall organize relevant experts to review and determine whether there is academic misconduct in the content of the degree thesis and make specific handling suggestions according to the determination results. In principle, dissertations with a "full-text copy ratio of dissertations" higher than 35% should be submitted for approval one semester later.
3. Verification of the authenticity and reliability of the content of the dissertation.
Before the thesis is submitted for review, the postgraduate tutor will review the postgraduate degree. The paper shall be comprehensively checked to ensure the authenticity and reliability of the content, and cheating of the degree thesis shall be avoided. The college shall retain the relevant verification materials for future reference.
4. Internal review and External review
The submission of doctoral dissertations for internal review examination shall be jointly organized and implemented by all colleges and graduate schools, and the combination of "internal review report " (1 copy) and "blind submission" (3 copies) shall be implemented. The college is responsible for the implementation of the internal review for approval. The submission for review is implemented explicitly by the second-level training unit and reported to the Graduate School for filing. The discipline and college will determine a review expert (or expert group) according to the research content of the doctoral dissertation to be submitted for approval. The internal review submission of doctoral candidates should be completed before the blind submission. Postgraduates can modify according to real-name experts' comments and submit for double-blind review after being reviewed by real-name experts. The review results will be signed and confirmed by the review expert (or expert group). When the doctoral dissertation is submitted for review and approval, a copy of the review opinion passed by the "internal review report" shall be attached. The graduate school is responsible for implementing the "double-blind submission for external review". The review of a professional master's degree thesis can be conducted in the form of one internal review and another blind review. The college is responsible for organizing the preliminary examination of the degree thesis of graduate students who have reached or exceeded the maximum length of study. At least five experts from the college and discipline organization shall strictly review the relevant degree papers. Only after the internal review is passed and the preliminary review result is signed and approved by the discipline leader can the subsequent submission for review be entered.It is recommended that colleges with conditions take the methods of pre-examination, pre-defence, and internal review to check the quality of graduate thesis at all levels and categories in advance.
5. Submission and Approval of Thesis
Monday afternoons and Thursday mornings during working days (before and after summer vacation); July 17th to 19th during summer vacation.
To ensure the smooth progress of dissertation defense and degree conferral-related work, the deadline for submission and approval of this batch of dissertations is set as follows: July 19th (Friday) for doctoral dissertations, and September 2nd (Monday) for master's degree theses. For dissertations submitted after the deadline, normal submission and approval procedures will still be followed, but graduate students will be required to sign a relevant commitment letter.
6. Synchronous sampling of thesis
The first submission of master's degree theses for all categories is the college's responsibility, and the graduate school conducts the same process. Step-by-step sampling (the list of sampling and evaluation is not publicly available, and 100% coverage is provided for those with longer learning years) sampling is not allowed. The qualified results will be promptly fed back to the relevant colleges, and the colleges will evaluate whether or not Jiangsu University has any objections to the sampling and evaluation. 7. Feedback and abnormal handling of thesis review comments
For dissertations submitted for review by the Graduate School, once all review opinions are received, the Degree Office will notify the college electronically, and the college will then feedback the review results to the graduate student or their supervisor. For dissertations submitted for review by the college, once all review opinions are received, the college will directly feedback the review results to the graduate student or their supervisor. In cases of "abnormal dissertation submission for review," the Graduate School and respective colleges will handle the situation according to the "Regulations on the Submission of Dissertations for Review by Jiangsu University Graduate Students”.
8. Dissertation defense
The defense date for graduate dissertations should be determined after receiving the review opinions indicating "agreement to proceed with defense." Any dissertation defense arranged without review opinions or when the reviewer indicates "disagreement to proceed with defense" shall be considered invalid. In principle, the dissertation defense should be held openly and offline on campus, following the "Detailed Rules for the Degree Conferral Work of Jiangsu University." In cases where there are special circumstances, such as genuine inability to return to campus, online defenses can be arranged upon application and approval. Before the dissertation defense, graduate students should write a detailed modification report based on the review opinions (including reasons for disagreements with academic viewpoints or reviewer opinions, which should be confirmed by the supervisor), submit it to the college (for master's degrees) or the Graduate School (for doctoral degrees) for review, and only proceed with the defense application after obtaining approval.
9. Granting graduation and degree certificates
All graduate diplomas are prepared and printed by the graduate school. The time for exclusive collection of certificates will be notified separately in due course. Certificate holders are requested to receive the certificate at the exclusive time. Otherwise, only Thursday afternoons, after one month of expiratory period, will be the time for obtaining the certificate (except holidays).
10. Replacement of certificate
Students who need to change their certificates due to errors in the information must submit written applications to the Graduate School Degree Office at the beginning of the next batch. The certificates can be replaced only after the valid reason of the application certificate is accepted. Such applications are not accepted in this batch. All colleges are warmly invited to do a good job in awarding the graduate students for the second batch of 2024.

i. Thesis [PDF and should not contain any information regarding supervisor or publications.Students must verify information in the system and upload the thesis and other information in the portal prior to submission as mentioned above]
j. PhD students [Internal review report]
k.For PhD Students: PhD students must download the first page of their article from the WEB OF SCIENCE Document Search - All Databases (webofscience.com).
For Spring 2021 and Earlier Registered Master Students: Master students who registered in Spring 2021 or earlier must provide proof of a valid ISSN for their publication. This proof can be obtained from the Welcome to The ISSN Portal (The ISSN Portal).
For Autumn 2021 and Later Registered Master Students: Master students who registered in Autumn 2021 or later must provide proof of their publication being indexed. This proof can be obtained from either Scopus (https://www.scopus.com/sources) or the WEB OF SCIENCE Document Search - All Databases (webofscience.com).
